About ASPY Alumni

The Association of Anglophone Alumni of Polytechnic Yaoundé (ASPY Alumni) is a non-profit organisation bringing together former students of the National Advanced School of Engineering Yaoundé (Polytechnic Yaoundé). Guided by the motto "It is good for kinsmen and kinswomen to come together", ASPY Alumni seeks to strengthen fellowship among its members, support the development of current students, promote engineering excellence, foster entrepreneurship, and contribute to the economic and technological development of Cameroon and Africa. As part of its 2026–2030 Strategic Master Plan, ASPY Alumni is establishing its first Permanent Secretariat and seeks to recruit a dynamic and highly organised Operations Director to lead its day-to-day operations.

Position Summary

The Operations Director is the chief administrative officer of the Permanent Secretariat and is responsible for the operational execution of ASPY Alumni's mission. Working under the supervision of the Executive Committee, the Operations Director shall coordinate the Association's activities, manage the alumni database, support governance bodies, oversee communications, develop partnerships, coordinate mentorship programmes, and ensure the successful implementation of the ASPY Strategic Master Plan. The Operations Director serves as the institutional backbone of ASPY Alumni and ensures continuity between elected leadership teams.

Key Responsibilities

Secretariat Administration

  • Manage the day-to-day operations of the Permanent Secretariat.
  • Maintain official records, archives, and institutional documentation.
  • Draft and manage official correspondence.
  • Ensure proper record-keeping and document management.
  • Support the Executive Committee, Board of Directors, Senate, and Special Committees.

Alumni Database & Membership Management

  • Build, maintain, and continuously update the ASPY Alumni database.
  • Track alumni profiles, professional information, membership status, committee participation, and mentorship involvement.
  • Coordinate membership registration and renewal processes.
  • Maintain accurate records of Founding Members and Regular Members.

Corporate Partnerships & Sponsorship Development

  • Identify and engage companies employing ASPY Alumni.
  • Develop and maintain relationships with corporate partners.
  • Prepare sponsorship and partnership proposals.
  • Coordinate discussions with companies, institutions, and development partners.
  • Build a sustainable pipeline of strategic partnerships for ASPY Alumni programmes and events.

Mentorship Programme Management

  • Coordinate the ASPY Alumni Mentorship Programme.
  • Facilitate mentor-mentee matching.
  • Support interactions between alumni mentors and Aspian students.
  • Monitor mentorship activities and outcomes.

Communications & Community Engagement

  • Manage ASPY Alumni's communication channels.
  • Coordinate newsletters, announcements, and event invitations.
  • Maintain mailing lists and member engagement systems.
  • Support social media and website content management.
  • Promote ASPY Alumni activities and achievements.

Event Coordination

  • Coordinate the organisation of General Assemblies, Board meetings, Senate meetings, networking events, webinars, and official ceremonies.
  • Lead the operational preparation of the Official Launching of ASPY Alumni scheduled for January 2027.
  • Coordinate logistics, invitations, registrations, and event follow-up.

Polytechnic Relations

  • Maintain regular contact with Polytechnic administration and student leadership.
  • Support collaborative initiatives between ASPY Alumni and the school.
  • Facilitate alumni involvement in student development activities.

Strategic Execution & Reporting

  • Monitor implementation of the ASPY Strategic Master Plan.
  • Track key performance indicators.
  • Prepare monthly operational reports.
  • Provide recommendations to improve organisational effectiveness.

Qualifications

Minimum Requirements

  • Bachelor's Degree (or equivalent) from a recognised institution.
  • Excellent written and spoken English.
  • Excellent written and spoken French.
  • Strong organisational and administrative skills.
  • Ability to coordinate multiple stakeholders simultaneously.
  • Good knowledge of digital productivity tools.

Preferred Qualifications

  • Master's Degree in Business Administration, Project Management, Public Administration, Engineering Management, Communication, Information Systems, or a related field.
  • Previous experience in administration, operations, project management, partnerships, community management, alumni relations, NGOs, professional associations, or educational institutions.
  • Experience organising events and coordinating volunteers.
  • Experience managing databases, CRM systems, or membership organisations.

Technical Skills

Experience with some or all of the following tools is an advantage. Training may be provided where necessary.

  • Airtable

  • Microsoft Office Suite
  • Notion
  • Website content management systems
  • Project management tools

Performance Objectives (September – December 2026)

By the end of the initial contract period, the Operations Director shall be expected to contribute significantly towards:

  • Updating and maintaining information for at least 90% of known ASPY Alumni.
  • Establishing and maintaining a structured alumni database.
  • Securing at least 10 corporate partnerships.
  • Coordinating a mentorship programme that pairs Aspian students with alumni mentors.
  • Supporting the successful organisation of the Official Launching of ASPY Alumni in January 2027.
  • Establishing efficient communication systems and operational processes for the Association.

Remuneration

A monthly stipend shall be provided in accordance with the approved ASPY Alumni budget. Additional performance-based incentives may be introduced as the Association grows and subject to budget availability.
